Usage Policy

1Scope of this Policy

This Usage Policy applies to all users of Universal Business Technology's systems, including the desktop application, the web platform, point-of-sale applications, and any related services or APIs, whether individual users or subscribed tenant organizations on our cloud platform.

By using any of our systems, you acknowledge that you agree to comply with this policy, in addition to our Terms of Use and Privacy Policy.

2Acceptable Use

When using our systems, users agree to:

• Use the system only for lawful commercial and administrative purposes related to their business.
• Comply with applicable laws and regulations in the Kingdom of Saudi Arabia, including ZATCA e-invoicing requirements.
• Enter accurate and correct data when using the invoicing, accounting, and inventory modules.
• Not exceed the usage limits or number of users agreed upon in the subscription plan.

3Prohibited Activities

Users are prohibited from doing any of the following:

• Attempting unauthorized access to the data of other tenant organizations on the cloud platform.
• Reverse-engineering, attempting to extract source code, or copying or redistributing the system without written authorization.
• Using the system to transmit malicious content, malware, or unsolicited messages (spam).
• Attempting to disrupt or overload the system's servers or shared databases.
• Using the system to issue fraudulent invoices or documents that violate e-invoicing regulations.
• Sharing login credentials (username/password) with unauthorized parties.

4Accounts & Credentials

Users are fully responsible for the confidentiality of their account credentials and for all activity that occurs under their account. Our support team must be notified immediately if any unauthorized use of the account is suspected.

5Data & Privacy

Data entered by the user or organization into the system (such as invoices, customer data, and inventory) remains the property of the user. We process this data in accordance with our Privacy Policy and do not use it for any purpose beyond providing the service, technical support, and regulatory compliance.

6Service Availability

We strive to provide the highest levels of stability and availability for our systems. However, temporary downtime may occur for scheduled maintenance, updates, or reasons beyond our control. Scheduled maintenance will be announced in advance whenever possible.

7Security & Reporting

If you discover any security vulnerability or suspicious behavior in the system, please contact us immediately through the support channels below. We are committed to investigating and responding to all security reports as quickly as possible.

8Violations & Suspension

We reserve the right to suspend or terminate any user's or organization's access to the system, immediately and without prior notice, in the event of a clear violation of this policy, or if there is a threat to the platform's security or the data of other users.

9Changes to this Policy

We may update this policy from time to time to reflect regulatory or technical changes. Any amendments will be published on this page along with the update date, and your continued use of the system after such changes are published constitutes acceptance of them.
